SheRides | Mountain Bike Holiday ‘Retreats’ Terms & Conditions

These Terms and Conditions apply to all bookings for SheRides Mountain Bike Holidays in Les Gets, France 2026

Important Information: Not a Package Holiday

SheRides provides accommodation and activity services but does not operate as a package holiday provider.

Under the Package Travel and Linked Travel Arrangements Regulations 2018, a “package” generally applies when two or more travel services are sold together for one inclusive price or when an additional service accounts for a significant proportion (typically 25% or more) of the overall value of the trip.

As each element of a SheRides holiday (such as catered accommodation and transfers) is contracted and paid for separately, and no single additional service (for example, optional MTB coaching or yoga) represents a significant proportion of the overall value, your booking does not constitute a package holiday. Accordingly, SheRides is not responsible for the delivery or performance of services provided by third-party suppliers, and the Package Travel Regulations do not apply.

For additional financial protection, we recommend paying your deposit by credit card, which may provide cover under Section 75 of the Consumer Credit Act 1974.

1. Eligibility

  • All guests must be aged 18 or over at the time of travel. Bookings made for anyone under the age of 18 will not be accepted, and any individuals found to be under 18 will not be permitted to take part in the trip, any monies paid will not be refunded.

  • This is a women’s-only trip. Bookings are only open to individuals who identify as women.

    2. Booking & Payment

  • A non-refundable deposit of £200 per person is required at the time of booking.

  • The remaining balance is due no later than 61 days before your retreat start date, as follows:

    • 13th – 18th June 2026: balance due Monday 13th April 2026

    • 19th – 24th June 2026: balance due Sunday 19th April 2026

    • 5th – 10th July 2026: balance due Wednesday 4th May 2026

    • 9th – 14th September 2026: balance due Thursday 9th July 2026

      • If the remaining balance is not received by the due date, your booking may be cancelled, your deposit will be retained, and the space offered to another guest.

      • For bookings made after these dates, the remaining balance is payable within 24 hours of receiving your invoice.

      • Balances can be paid via bank transfer or by card (please note that balance payments made by card incur a 1.5% processing fee).

      3. Cancellations & Refunds

  • Deposits are non-refundable under any circumstances, unless otherwise stated.

  • Cancellation Policy:

    • Cancellations made 61 days or more before arrival date, your deposit is forfeited

    • Cancellations made less than 61 days before arrival date, your full holiday price is forfeited

    • Notice of Cancellation: All cancellations must be made in writing via email to hello@sherides.co.uk. Even in scenarios that might seem obvious (e.g. if all borders are closed). If you do not let us know you wish to cancel then you'll be classed as a "no-show" and the full holiday price forfeited.

  • In the unlikely event that SheRides needs to cancel your holiday, for example, due to insufficient bookings, government restrictions, natural disasters, or other circumstances beyond our control (including pandemics or public health emergencies) we will notify you as soon as possible.

    Guests will be offered the choice of:

    • transferring their booking to an alternative date (subject to availability),

    • receiving a credit to use on a future SheRides retreat, or

    • receiving a full refund of any payments made to SheRides. Refunds will match the payment method; refunds made by bank transfer will incur no charge, refunds made by card payment will incur a 1.5% fee

    SheRides is not responsible for any additional costs you may incur as a result of such cancellation (including flights, transfers, or other travel arrangements not booked through us). We therefore strongly recommend that your travel insurance includes cover for cancellation and disruption due to unforeseen events such as pandemics or government travel restrictions. More information on insurance below.

    4. Third-Party Services (Transfers, Lift Passes, Bike Hire & Recommendations)

  • SheRides may recommend trusted local partners to assist guests with arrangements such as airport transfers, lift passes, bike hire, or restaurant bookings. Please note that all such services are booked directly with the provider and are not operated, managed, or controlled by SheRides.

  • Whilst we aim to recommend reliable and reputable partners, SheRides accepts no responsibility or liability for any issues arising from these third-party arrangements - including, but not limited to, delays, cancellations, service changes, injury, loss, or dissatisfaction.

  • All bookings, payments, and communication related to third-party services are made at the guest’s own discretion and are subject to the individual terms and conditions of the provider.

    5. Discounts

  • From time to time, SheRides may offer promotional discounts or special offers.

  • Discounts are only valid for new bookings made during the promotional period and cannot be applied retrospectively to existing bookings.

  • Discounts cannot be combined with any other offers unless explicitly stated.

  • Some discounts, such as pre-registration or early access offers, may be available only to specific individuals or groups. SheRides reserves the right to verify eligibility and cancel or amend any bookings made using a discount code by individuals who do not meet the stated criteria.

  • All discounts are subject to availability and can be withdrawn at any time.

    6. Travel Arrangements

  • Guests are responsible for booking their own flights and transfers to the accommodation.

  • SheRides accepts no liability for delays, cancellations, or missed connections affecting your travel.

    7. Accommodation & Catering

  • SheRides provides accommodation at pre-booked chalets in Les Gets, France.

  • Specific room allocations cannot be guaranteed.

  • Secure bike storage is provided.

  • Your stay includes continental breakfast each morning and a 2 course family-style evening meal on 4 out of 5 nights.

  • Guests are responsible for organising their own dinner on the chalet host’s night off. The specific night will be confirmed on each retreats individual webpage.

  • We will do our best to accommodate dietary requirements and alternatives where possible, but we cannot guarantee this will be possible for all requests. Please notify us in advance of any dietary needs.

  • Accommodation is based on shared twin rooms. Guests can also choose to pay a single occupancy supplement to have a room to themselves. Room options are subject to availability at the time of booking.

    8. Activity Participation

  • Mountain biking carries inherent risks. All participants ride at their own risk.

  • Group Social Rides will be available daily. These are unguided and not coached; all riders are fully responsible for their own safety, ability, and bike condition. SheRides accepts no responsibility or liability for accidents during these rides.

  • Helmets are mandatory at all times when riding. Correct safety equipment and a safe, well-maintained bike are mandatory - anyone without these will not be permitted to join.

  • A qualified MTB coach (who is fully insured) will lead one coaching session during your stay, this is the only time coaching or guiding will be available.

  • If you feel you need more coaching or would like a guide you can book this separately, not through SheRides.

  • SheRides reserves the right to deny participation to anyone deemed unsafe or under the influence of alcohol/drugs.

    9. Insurance

  • Guests must have personal travel insurance that provides adequate cover for mountain biking and emergency medical treatment abroad. Please ensure your policy specifically includes this type of mountain biking activity.

  • Whilst we provide secure bike storage, we also recommend that you have insurance cover for your bike and equipment in case of loss, theft, or damage.

  • Your travel insurance should also include trip cancellation and curtailment cover to protect you if you are unable to travel or need to cut your trip short due to illness, injury, or other unforeseen circumstances.

  • Additionally, please ensure your policy covers travel disruption, such as flight delays, missed connections, or cancellations. This should include reimbursement for any extra costs you may incur (for example, arranging alternative transport if you miss a pre-booked transfer).

  • SheRides accepts no responsibility for any injury, loss, damage, delay, or additional expense incurred as a result of inadequate insurance cover.

    10. Health & Safety

  • Guests must disclose any relevant medical conditions or injuries prior to the trip. This information helps us ensure everyone’s safety and enjoyment.

  • SheRides reserves the right to refuse participation in any activity, or the trip as a whole, if we believe a medical issue or condition may pose a risk to the guest or others.

  • In such circumstances, no refund will be automatically due, and guests should refer to their travel insurance for possible reimbursement. We strongly recommend that your policy includes cover for trip cancellation due to illness, injury, or being deemed unfit to participate.

    11. Personal Property

  • Guests are responsible for their own bikes and belongings.

  • Secure storage is available at the chalets, but guests are advised to have appropriate insurances.

  • If you are going to leave your bike at any point (outside of the secure storage we provide) we’d recommend bringing a bike lock so you can secure your bike when needed.

    12. Force Majeure

  • SheRides accepts no liability for changes, delays, or cancellations caused by events beyond our control (e.g. natural disasters, travel disruptions, government restrictions).
