WhatsApp: Setting Up A Group In Our Community Chat

We have a community chat with groups set up for each area we have an ambassador in. It’s completely optional if you want to set up a WhatsApp group for your area, but if you do, here are some guidelines to follow. 

Purpose of the Group

Your local SheRides WhatsApp community group is a space for women to connect, share their passion for mountain biking, and grow the local SheRides community.

These groups are designed to:

  • Encourage friendly connections and social support.

  • Help members find others to ride with casually.

  • Share local trail updates, bike park info, and community news.

Please remember: these are community spaces - not official SheRides ride coordination channels.

Casual Meet-Ups vs Official Rides

It’s really important that all members (and ambassadors) understand the difference between informal and official SheRides rides:

Casual Meet-Ups

  • Informal and arranged personally between members.

  • Not organised or led by SheRides.

  • Members ride at their own discretion and risk.

Official SheRides Rides or Events

  • Organised and led by SheRides.

  • Participants must book through our official channels and agree to our disclaimer.

  • Promoted and managed by SheRides & SheRides ambassadors.

Whenever casual rides are mentioned, please remind the group that these are independent of SheRides and that official rides still require sign-up via the website or facebook group.

Your Role As An Ambassador

As the local group ambassador, your role is to:

  • Welcome new members and set a positive, inclusive tone.

  • Encourage conversation and connection between riders.

  • Remind members that informal rides are at their own risk.

  • Share updates about official SheRides rides, retreats, and community news.

  • Monitor the chat occasionally to ensure posts align with SheRides values.

  • Pull anyone up if they are not posting in alignment with our group rules (see below)

You don’t need to manage every detail - your role is to guide and support rather than lead.

How To Set Your Group Up

First you'll need to join our WhatsApp Community and then you can ‘Create a New Group’.

1. Group Name 

SheRides – [insert location]

2. Group Image

Please use an image of yourself with a group of female riders from one of your social rides. 

3. Description 

Please copy and paste the following into the groups description (including the group rules):



👋 Hi, I’m [insert name] your local SheRides ambassador. Welcome to our community WhatsApp group for [Location].

This is a space to connect, chat, and find others to ride with. Please remember, rides arranged here are informal and not organised by SheRides, I will share links to any official SheRides social rides/ events in the area so you can get yourself signed-up. On any SheRides organised rides you agree to our Terms of Service which can be found at https://www.sherides.co.uk/terms-of-service

SheRides Community Group Rules

By participating in any SheRides community group, you acknowledge and agree to the following rules:

• This group connects local riders for chat + informal meet-ups.

• Only rides shared by the Ambassador with a link to the SheRides website are official and must be signed up to via the website or Facebook group.

• All other meet-ups are informal and not organised by SheRides. Join at your own discretion.

• Be kind, inclusive and bike-focused. No selling.

• Please don’t promote or share this group link on social media - groups grow through word of mouth and local connections to keep it authentic.

Please copy and paste this message to the group chat and pin it to the top once you have your first few members

👋 Welcome to SheRides [Location] chat, I’m [Insert Name] your local SheRides ambassador. Please take a moment to read the group description to familiarise yourself with our rules. By remaining in the chat, you agree to follow these guidelines so we can keep this space safe, supportive and fun for everyone.

Note - Unfortunately new members can’t see pinned posts and pinned posts need to be re-pinned every 30 days - it’s a bit annoying but the best we can do for now. When the post is repinned, everyone in that group will be able to see it. Up to you if you’d like to re-pin more often as more people are joining. 


5. Group permissions

  • Under ‘Members’ Can you please turn off ‘Edit group settings’ - it’s up to you if you want to enable ‘invite via link or QR code’

  • Under ‘Admins’ nan you please turn on ‘Approve new members’


Once you’ve completed these 5 steps you can then invite people to join!


Other groups you’ll see in the community - Announcements & Ambassador Chat

The announcements group is automatically set up by WhatsApp and every member of this community in all groups can see this announcement group. So I foresee that it will be used to communicate anything that needs to go out to all group members - special events, updates etc. I think this will be sparsely used but we’ll see what happens when the groups start and we might find a good use for it.


The ambassador chat is so we can communicate about the groups without it taking up space in our ambassador WhatsApp group as not everyone is involved in the community. Whether it’s set up or any scenarios we come across, issues, questions etc we can use this to communicate with each other.

Promoting The Group

The SheRides WhatsApp groups are designed to grow organically within each local community.

Please do not promote group links on social media, public pages, or wider online platforms. Instead, these groups should be mentioned naturally during local social rides, meet-ups, and community interactions.

The aim is to keep each WhatsApp group personal, friendly, and relevant to riders in that area - growing through word of mouth and genuine connections rather than open promotion.

Ambassadors can invite riders who attend social rides or express interest in connecting locally, ensuring the group remains a safe and trusted space for active community members.

Your WhatsApp group is a powerful way to connect local riders, build community, and share the SheRides spirit.

Official rides = organised and promoted by SheRides
