What Being an Ambassador Is All About
As a SheRides Ambassador, you’re basically the hype queen of your local riding crew. You’re not a coach or an instructor - you’re the friendly face that helps bring women together and makes sure everyone feels welcome, safe, and supported.
Your role is to:
Create a chilled, friendly, inclusive vibe
Keep the group flowing nicely on the route
Make good calls based on your judgement and the group’s needs
Look out for everyone while still having fun
Follow our basic safety processes
Grab a few photos or videos for socials (when it’s actually safe to do so!)
Think of yourself as the glue - not the guide.
Getting prepped
1. Jotform
If you haven’t heard of JotForm, it’s a platform that lets you create customisable, easy-to-use forms that are even available offline. We’ve used it to create our own forms to make running SheRides simpler and more organised.
When we use Jotform
On The Day Sign Ups: We direct riders to sign up for social rides via our website so we can keep track of numbers, collect emergency contact details, and meet some insurance requirements.If someone turns up on the day without signing up beforehand (which is totally fine), they just need to complete a pre-loaded sign-up form using the JotForm app. The app works offline too, so no signal is no problem.
Incident Reports: if there is an incident on one of your rides you’ll need to fill in the incident report form so we can log it in our accident book.
Your Next Ride: Most importantly we’ve created a form on Jotform so that you can provide us with all your next ride information without me asking you lots of questions! It’s a really easy for and if your ride is the same as last time you can even select ‘duplicate ride’ and you don’t have to fill out all the same details.
How to find the Jotform App
The JotForm app is free to download - head to the App Store (or your non-Apple alternative) and search “Jotform”. The correct app is called “Jotform - Form, Sign, Survey” (they have a few, so do double-check the name).
Make sure you have the JotForm app (Form, Sign, Survey) dowloaded with your Social Rides Form and Incident Report Form set up. Once you’ve done this once, you won’t need to do it again, as the forms should remain on the app.
Your Forms
Form 1: Social Rides Sign Up Form
This is the only form that you need to manually set up yourself. You’ll only need to do it once and then it’s set up for all your future rides, you can use the same form every month.
Once you’ve downloaded the Jotform app just follow the steps below:
Tap the + sign to create a new form
Tap Form
Tap import from
Tap from web page
Paste in this link: https://form.jotform.com/253382678023056
Tap create form
Tap settings > form settings - from here change the title of the form to [your ride location]
Tap setting again > emails - see the box labelled Notification 1, tap box then tap edit. In this next view tap Recipients and change the Recipient email to hello@sherides.co.uk. You’ll need to delete your email address in order to do this.
Tap save email.
Then tap the X at the top right of the screen - a pop up box will appear ‘Confirm Navigation’ tap ‘Yes, Leave’
It will appear in your ‘workspace tab’ so all you need to do is tap on the form and hand it to any riders who haven’t signed up on the day.
*Remember this form should only be used for riders who arrive on the day who haven't completed the website sign-up*
If this is set up correctly you’ll be able to see everyone who signs up on the day and because you’ve changed the email address to to SheRides it means I stay updated with who’s on the ride.
Form 2: Incident Report Form
You can access this form on this link: Incident Report Form, here you can record and document any accidents or incidents, should they occur.
Form 3: Ambassador Next Ride Info Form
You should be familiar with this form and can access it on this link: Ambassador Next Ride Info Form. Please fill this in with your next social ride info before the 20th of each month so I can advertise your ride
2. Sending Ride Info to SheRides HQ
To help us shout about your ride on the website and socials, please fill in our Ambassador Next Social Ride Info Form. Easy!
Make sure you have downloaded the JotFrom app so you can get peoples details if they haven’t signed up.
3. Advertising Your Ride
Once your ride is live on the website, feel free to set up your event in the SheRides Social Rides Facebook Group- this has proven super useful for gaining interest in your ride. If you’re unsure on how to do the check out our handy guide. Just remember to ask people to sign up via the website www.sherides.co.uk/ride-with-us.
If you want to promote the ride elsewhere, go for it - just make sure riders are directed back to the official sign-up form via the website so we have everyone’s details. You don’t need to promote anywhere else. But if you do, we’ll collaborate with you on socials (you can choose whether you want to accept the collab or not- we don’t mind either way).
Ride Day!
1. Pre-Ride Chat (Keep it friendly + simple)
Gather the group, smile, and cover the basics:
Check everyone is on the registration list
Google Sheets: You’ll receive a personalised link to a google sheet from us so you can see all your sign ups before your ride, and you’ll be able to see the information they have provided, including their emergency contact details. This is via google sheets and should already be set up as ‘ready for offline use’ so you should be able to access it on your ride even if there is no signal - just make sure you’ve saved it in an easy to access place.
JotForm: If someone is not on the list then all they need to do is fill out the Social Rides Sign Up form on the Jotform App. It's super important they fill this in before they ride, otherwise you are not covered by the insurance if they have an accident. The form can be used offline, meaning the no signal areas are no problem.
Quick intro: who you are and what the SheRides vibe is
Confirm the ride grade + general pace
Explain any group signals (if you use them)
Mention any hazards you know are coming up
Remind everyone we ride by the golden rule: no rider left behind (as per our Code of Conduct). The entire group is only ever as fast as the slowest rider.
Make it feel light, friendly and welcoming - not like a safety briefing at an airport.
2. Keeping the Group Moving
There’s no “right” way to lead - do what feels natural.
Just regroup regularly (especially after junctions or tricky bits), keep an eye on anyone struggling, and tweak the plan if you need to.
As your group grows over time it’s often worth having someone at the front and back. As you get to know your riders you’ll discover who is confident enough to help you out, and all you have to do is ask. You could:
be at the front of the group and nominate a trusted rider to bring up the rear
or
ride at the back and nominate someone/ ask for a volunteer to be up front
Either is totally fine, just have a chat with the group and see how they feel about it. We hope that as your rides go on, you’ll have regulars whose confidence will just grow and grow and you can trust them to help you host.
3. Communication on the Trails
No need to be formal - just be clear:
Hand signals (if you want to use them)
Verbal calls (“Car ahead”, “Stopping”, “Rider behind”, etc.)
Pass messages through the group
Simple + safe.
4. Safety Stuff
Slow things down before hazards
Encourage riders to walk anything they’re unsure of, pre-ride, re-ride, freeride is the best way to approach new things.
Only stop where you’re clearly visible to your group and other trail users
Be kind to other trail/road users
We don’t need to over-police - just keep things sensible.
It’s also worth reminding you here that you're not a coach or a guide, so if someone is wondering whether they are good enough to do something then it’s not your job to say yes or no.
If Things Get a Bit Tricky
1. When Someone Is Struggling
It happens - and it’s okay!
Just:
Slow the pace
Take a breather
Reassure them
Shorten or tweak the route if needed and be prepared to ride back to the car with them. Your group may want to continue, and they will understand the situation if you need to help someone out- you can always catch them up
If they really can’t continue safely, help them get to a pickup point or safe exit.
2. Behaviour Issues
On the very rare chance someone’s behaviour isn’t cool:
Speak to them privately and calmly
Remind them of our Code of Conduct
If things don’t improve, ask them to leave (only if safe to do so)
Let SheRides HQ know what happened via our incident report form in JotForm
You’re not expected to “handle” big conflicts - just keep the ride safe.
3. Public Interactions
Most trail users are lovely - but in case they’re not:
Stay calm and friendly
Don’t engage in confrontation
If it feels unsafe, move your group on and call for help (trail centre, friend, local support)
Emergency Procedure
If something does happen:
Make sure the group is safe and out of harm’s way
Assess what’s going on
Give first aid if you’re trained
Call emergency services if there’s any doubt
Keep everyone else calm
Organise transport/pickup if needed
Let SheRides HQ know and submit an incident report on JotForm within 24 hours
You’re not expected to be a hero - just do only what you’re trained to do.
Post Ride
Make sure everyone gets back safely
Log any issues or concerns
Submit an incident report on JotForm if required
Create a post/reel and collaborate with SheRides within 7 days
(Or share your content with us if you don’t use Instagram- we’re happy to post some stuff for you)Share your photos and/or videos to the SheRides Media Folder (found in the Ambassador Google Drive folder) so we can use them for future content
Ambassador Conduct
Ambassadors should aim to:
Be kind, calm, and inclusive
Ride safely and look after each other
Stick to SheRides procedures when needed
Avoid coaching unless insured/qualified
Respect confidentiality
And above all… HAVE FUN! 😄✨
